All customers are expected to abide by the terms and conditions set out below:

Classes and Payments

Octotots operates 10-week terms with the cost of each term £150, £15 per class. Payments can be made in full before the start of each term or by monthly direct debit. N.B Regardless of how classes are paid, swimmers are committing to the full 10-week term and cancellations are NOT permitted once a term has started. No refunds will be given for missed or unattended classes.


All clients will receive an email in week 6 of the current term advising rebooking and cancellation dates. All customers are automatically re-enrolled to the same class, same day, same time, next level until we receive notice of cancellation. The full rebooking process can be viewed on our website.

Refund Policy

  • In the event you decide to cancel before classes begin you will be entitled to a refund less a £20 administration fee.
  • If you are unable to attend a lesson due to sickness or holiday, we regret that we are unable to refund. We do, however, operate a catch-up class policy which means if you miss a class, we will do our best to provide you with a catch-up class. This is subject to availability and not guaranteed. Catch up classes may be a different level to your current class (see notes below).
  • Where a class is cancelled due to an event outwith our control e.g., pool failure/closure, severe weather etc no refund will be offered but Octotots will endeavour to put on a replacement class/classes at the earliest possible opportunity.
  • If you decide to leave Octotots part way through a term no refund will be provided. Direct Debit customers will be expected to pay the remaining payments for the term even if you choose not to attend.

Charges and Fees

Due to changes in the way our direct debit provider charges, we will now add an admin charge for each failed direct debit payment. The charge is £5 for the first failed payment and £20 for each subsequent failed payment.

If a customer cancels their direct debit payments part way through the term and does not pay the balance, we will have no choice but to take formal action to recover these fees. In this instance you will be charged the outstanding balance, plus any fees we incur instructing recovery of the debt. We also reserve the right to charge daily interest on the outstanding amount at a rate of 8%.

Privacy Notice

  • We respect your need for privacy and keep any information that you share with us in confidence. We are bothered by spam and unsolicited phone calls as much as you are, and we do what we can to discourage these practices. We record your personal information only if you provide it to us when expressing an interest in our services. We do not share this information with any third parties. In short, we use your personal information only to serve you better. We want you to be comfortable contacting us.
  • Occasionally we take photographs during lessons and use them for marketing purposes e.g. on social media and our website. If you do not want your photograph used in this manner, please advise your teacher.

Catch Up Class Policy

Octotots understands that life with a baby/toddler can be busy and sometimes it is inevitable classes will be missed. In order to minimise the impact of this, we are happy to operate a catch-up class policy. Catch up classes are available for the “odd” and “infrequent” situation where classes are missed due to illness or holiday etc. In order to be able to book a catch up class you must notify your absence via the customer portal. Once this has been done you will have the option to book a “make-up” class. Any available classes will be shown and you will be able to book. As we are very busy, catch up classes are not always available and should not be relied on.

Refunds for catch up classes that are missed or cancelled will not be given.

A client may not use a class previously refunded to attend a catch up.

Any client requiring more than 3 catch up classes per quarter need to email info@octotots.com to discuss as it may be a different day or time may be more suitable.

For Octokidz classes, catch up classes must be arranged directly with Ann-Marie due to the varying levels and standards of each class. This can be done by emailing ann-marie@octokidz.com

Conduct and Behaviour

  • Customers are responsible for their children at all times and must inform the teacher prior to the lesson if they have any concerns.
  • Customers should inform the teacher of any health issues that may be relevant.
  • We operate a strict double nappy policy for those children not yet fully toilet trained (happy nappy can be purchased from Octotots).
  • Please do not run on the side of the pool.
  • Please do not carry children able to walk down stairs.
  • Customers must follow pool procedures as advised to them at the time of confirmation.
  • Customers should aim to arrive no more than 15 minutes before the lesson and leave no more than 15 minutes after the lesson to help improve changing room comfort.
  • For health and safety reasons, we have been advised that you should not bring your child into the pool for 48 hours after suffering from diarrhoea.
  • All swimmers must shower poolside before getting into the pool.
  • Lost property found at the pools will be kept at Fife Swim Centre for a period of 4 weeks before being disposed of if not claimed.
  • Fife Swim Centre allow photography. Please try to ensure you only photograph your own child wherever possible.
  • We have a strict policy of not allowing underwater cameras to our classes.

Octotots operate a zero-tolerance approach to any form of misconduct or abusive behaviour towards employees, parents and centre staff. Anyone reported for such behaviour will be asked to leave classes with immediate effect and will forfeit any remaining balance on their membership.

Exclusion of Liability

In the absence of any proven negligence, lack of due diligence or breach of duty by your teacher; or staff member Octotots and Fife Swim Centre, or its employees, the participation of you; your spouse/partner; child or those in whose care you have placed your child for the purpose of attending or observing Octotots swimming sessions is done so entirely at your and their own risk.

Changes to Terms and Conditions

From time to time we may update these terms, by sending you either an updated version or notification of minor changes. You are free not to accept these changes but we would ask you to notify us in writing of your non acceptance within 14 days of your receipt, failing which we will be entitled to treat our agreement with you as being subject to the updated version.
